Overview

Our client operates a large hotel and restaurant business, managing multiple customers in a day. They managed day-to-day reservation operations with their legacy system which led to a lack of visibility into real-time data, such as occupancy, room availability, etc., resulting in reduced occupancy rates. They were seeking a digital service provider to develop a customized solution to automate their operations, maximize profit, and reduce operational costs.

Challenges

With the legacy system, the client’s hotel staff and reservation team were unable to gain real-time insights into daily arrivals, departures, stays, and category-specific room availability, such as backside rooms or suite deluxe rooms for adults and children, each with separate rate mapping. Some other challenges included:

  • Manually perform a series of tasks to check details and create bookings in the system.
  • Unavailability of a dashboard for checking daily arrivals, departures, and room availability.
  • No differentiation between booking states, such as draft, guest checked-in, and guest checked-out.
  • Limited visibility for the housekeeping staff to maintain cleanliness based on guest check-outs.
  • No data synchronization between the hotel app and channel partners' websites to display room availability.

  • Difficulty in downloading data from channel partners to manage reservations and room availability.

Our Solution

Our Odoo consultants recommended the Odoo ERP with custom features, the solution architect designed the solution, and the development team implemented it in phases using the agile methodology. The key features developed by our team using the Odoo platform are as follows:

  • Developed a customized dashboard using Dashboard Ninja (a top-rated Odoo app built by us) that supports various visualization formats, including Gantt view with color coding, list view, and graphical view.
  • Provided the hotel team with a feature for mapping room categories and rate plans.
  • Synchronized and linked hotel booking data with a smart button, enabling real-time visibility into room and inventory availability and occupancy percentages.
  • Automated invoicing and fiscal management processes, ensuring automatic submission and retrieval of responses from the local government.
  • Introduced an additional tab for the hotel's admin and reservation team to facilitate necessary actions such as guest addition, room mapping, and rate mapping.
  • Provided a limited feature access check button to the restaurant team to enhance data security and prevent duplication.
  • Implemented a data download feature for hotel bookings and restaurant reservations, allowing the admin and finance teams to monitor cash flow, daily arrivals, and departures for quick decision-making.
  • Integrated the system using an API for seamless data synchronization from the hotel database, ensuring real-time visibility of room availability on the channel partner application.
